Terms of Service

Balence is operated by Balence AI Sweden AB, org.nr 559561-9163. By using Balence, you accept these terms.

1. Service Description

Balence is a cloud-based platform for accounting firms that automates invoice handling, document processing, and bookkeeping. The service integrates with Fortnox and offers AI-powered data extraction, a client portal, and workflow management.

2. Acceptance of Terms

By creating an account and using Balence, you enter into an agreement with us under these terms. These terms apply to all users — workspace members and client users.

3. Account and Authorization

  • You must be at least 18 years old and authorized to enter into agreements on behalf of your organization.
  • You are responsible for keeping your login credentials secure.
  • You are responsible for all activity on your account.
  • Notify us immediately of any unauthorized access to your account.

4. Acceptable Use

You agree to:

  • Use the service in accordance with applicable law, including Swedish bookkeeping law and GDPR.
  • Not upload content that infringes third-party rights.
  • Not attempt to circumvent security measures or damage the service.
  • Use the service only for accounting and business purposes.

5. Data Ownership and Processing

  • Your data belongs to you. We make no ownership claims to data you upload or create in Balence.
  • We process your data solely to provide the service, in accordance with our Privacy Policy and any applicable Data Processing Agreement.
  • You may export your data at any time.
  • Upon account termination, your data will be deleted within 90 days, unless required by law to retain it longer.

6. AI Processing

Balence uses AI to extract data from documents. By using the service, you acknowledge that:

  • Uploaded documents are processed by AI models in EU data centers.
  • Extracted data is stored in your workspace.
  • AI providers do not use your data for model training.

AI extraction is an aid — you are responsible for verifying extracted data before bookkeeping.

7. Fortnox Integration

  • Fortnox connections are established via OAuth2 per company.
  • You are responsible for having authorization to connect each Fortnox account.
  • Balence performs actions in Fortnox on your instructions (e.g., creating vouchers).
  • You are responsible for reviewing and approving bookkeeping before it is finalized.

8. Pricing and Payment

  • Current pricing is available at trybalence.com or communicated upon registration.
  • Prices are stated excluding VAT.
  • We reserve the right to change prices with 30 days' notice.
  • Unpaid invoices may result in suspension of the service.

9. Availability

  • We strive for high availability but do not guarantee uninterrupted service.
  • Planned maintenance will be communicated in advance when possible.
  • We are not responsible for outages caused by third parties.

10. Limitation of Liability

  • The service is provided "as is".
  • Balence is not liable for indirect damages, lost profits, or loss of data, beyond what is required by mandatory law.
  • Our total liability is limited to the amount you have paid for the service in the preceding 12 months.
  • Balence is not liable for inaccuracies in AI-extracted data. You are responsible for verifying data before bookkeeping.

11. Intellectual Property

  • Balence owns all rights to the service, including software, design, and trademarks.
  • You are granted a non-exclusive, non-transferable right to use the service during the term of the agreement.

12. Termination

  • You may terminate your account at any time.
  • We may terminate your account if you violate these terms, with 14 days' notice unless the violation is severe.
  • Upon termination, you may export your data for 30 days. After that, data is deleted within 90 days.

13. Changes to Terms

We may update these terms. Material changes will be communicated at least 30 days in advance via email. Continued use after changes constitutes acceptance.

14. Governing Law and Disputes

These terms are governed by Swedish law. Disputes shall first be resolved through negotiation. If the parties cannot agree, the dispute shall be resolved by Swedish general courts.
